Administrative Assistant – Case Management

Position Summary:

The Administrative Assistant provides clerical, data-entry, and general office support to case management supervisors. This role answers office telephone calls, maintains files and records, assists with reports and statistical information, and supports daily office operations. The ideal candidate is organized, accurate, detail-oriented, and able to work independently while handling multiple requests professionally and confidentially.

 

Key Responsibilities:

  • Function as the administrative assistant to the case management supervisors
  • Maintain files and records
  • Compile case management documentation for statistical reporting
  • Establish and maintain records for case management team members
  • Perform data entry and form creation tasks
  • Assist case management supervisors with general office activities as directed
  • Answer, screen, and route telephone calls appropriately
  • Support and enhance the image of the agency by displaying a positive attitude in guest relations
  • Perform other assigned office and clerical duties as needed

 

Qualifications

  • High school diploma required; college preferred
  • Minimum of two years of experience in a business setting involving data entry and responsible clerical duties, or equivalent business education
  • Data entry experience and strong computer skills required
  • Preference for experience in aging services or the medical field, including knowledge of medical terminology
  • Knowledge of Microsoft Office programs required
  • Strong typing, data entry, telephone etiquette, organizational, and mathematical skills
  • Strong problem-solving abilities, attention to detail, and interpersonal communication skills
  • Ability to maintain confidentiality and promote a team approach
  • Ability to execute duties promptly, accurately, and independently with minimal direct supervision
  • Flexibility to manage multiple requests in a busy office environment
  • Must pass a background screening.

 

Working Requirements

  • Must possess sight/hearing senses or use prosthetics that will enable these senses to function adequately to meet the position requirements.
  • Must be able to bend, stretch, reach, lift, or move up to 25 pounds at a time, turn, and walk. Occasionally lift/move up to 50 pounds.
  • This position is based in an office setting and includes frequent telephone communication, data entry, records management, and general clerical support for the case management team.
